VIT registration is going completely digital – providing employers with another way to instantly verify teacher and early childhood teacher registration in Victoria.

You’re already using the register of teachers and Employer portal to monitor and maintain teacher registration, now you can conveniently access the same real-time proof of registration with digital registration cards.

Real-time proof and peace of mind

Digital cards are always up to date – pulling live data from VIT’s registration system. This means that you can scan the QR code in the digital card to instantly verify your teacher’s registration status. Digital registration also reduces the risk to child safety and helps keep schools and early childhood centres safe.

A teacher’s registration can change at any time (e.g. become expired, placed on interim suspension or cancelled), therefore physical cards are only valid on the day they are printed.

Employers and teachers who rely solely on physical cards to verify teacher registration are at serious risk of contributing to a range of regulatory issues, including child safety concerns and instances of unregistered teaching practice

The register of teachers, Employer portal and digital registration cards are all linked to VIT’s teacher registration system and updated immediately upon a change in registration, and therefore the only safe and accurate methods to prove a teacher’s registration status.

Tips to manage the change

Introducing digital registration cards may impact the employment, induction and registration process for your school or early childhood service. We understand that change can be tricky. But the protection of children and young people through easy access to live teacher registration data is worth it. 

Our quick tips will help prepare you for this change and take the stress out of transitioning to digital cards.

Employing and inducting new teachers

Your current practice may be to ask the teacher to provide their physical registration card to confirm they hold current registration, however now you can

  • request the teacher’s VIT registration number to check the register of teachers prior to finalising the employment process
  • check a form of photo ID and the digital registration card in person upon employment or induction, then scan the QR code and verify their registration details via the register of teachers.
Managing and monitoring teacher registration

Your current practice may be to photocopy the teacher’s physical registration card and store hardcopies for audit purposes, however now you can

  • export the teacher list from your Employer portal and save a digital copy
  • develop and implement a process to check and update the teacher list at regular intervals throughout the year i.e. weekly, monthly, quarterly.
Managing casual relief teachers (CRTs)

Your current practice may be to ask the CRT to provide their physical registration card to confirm they hold current registration, however now you can

  • request the CRT’s VIT registration number to check the register of teachers prior to commencing the induction process
  • check a form of photo ID and the digital registration card in person upon employment or induction, then scan the QR code and verify their registration details via the register of teachers.
